Payment for visits to the office
Payment for visits to the office is due on the date of service. In the event it becomes necessary to send the patient a bill for payment not received on the date of service, a $5.00 billing fee will be added each month the balance is outstanding. If you are an insured patient, we will make every effort to verify your insurance coverage prior to your first visit. We will process your insurance forms with any needed information and mail them for you.
We currently participate with Blue Cross Blue Shield, United Concordia, CIGNA, and Guardian Insurance Company. Co-pays are due on the date of service. Insurance payments for GHI Plans are mailed directly to the patient. For those who have these insurances, payment usually arrives in about 2 weeks. Our fee, however, is due from you on the date of service. All payments are due at the time of service unless prior arrangements are made with our financial secretary.

To my Valued Delta Dental Patients:
Wheatfield Family Dentistry has been a preferred provider for Delta Dental for more than 15 years. For the last 7 years we have asked for the fee allowance for certain procedures to be increased due to increased laboratory and material costs. We have been denied each year we have asked. Last week I received a communication from Delta Dental listing a new fee allowance schedule. After careful review, we found that not only did we not get an increase, in fact several fees were lowered, one more than 25%. The fees that were lowered were higher end procedures that have lab fees associated with them.
Unfortunately, one of the fee lowered was so low it was less that our lab charges to make the restoration. This means that we would have to pay for our patients to have dental care. This change did not reflect a change in the maximum total Delta will pay per year for your dental care.
One of the things WFD takes pride in is: offering all our patients the best options for dental health, regardless of insurance. Therefore we have made the difficult decision to end our preferred status with Delta Dental effective January 1, 2019. I recommend utilizing any remaining dental benefits before the end of the year to take advantage of the current pricing. After January 1, 2019, you can still come here as a patient, but Delta will reimburse you directly for your dental care.
What this means for you as a patient is your fees for dental care may change. Since Delta will reimburse you directly, you will have to pay up front for your dental care. We will still file all your forms and any necessary documentation to get your claim paid. Long standing patients may contact Kelly and make arrangements to sign your insurance checks directly to us and we will wait for them to pay for their portion, usually in 2-3 weeks.
It is our intention to reduce the prices on our regular fees for preventative services 25% by January 1, 2019. This will create a more “balanced” fee schedule for all our patients. More on that change as we approach the new year.
We can also offer Delta patients participation in our “no insurance, no problem dental health club”. For a yearly membership fee of $149 for adults, $99 for children under 16, we will provide 1 free cleaning, and 4 cavity detecting radiographs, and 10% off all our dental procedures. (see website or office for all details and restrictions.) We will waive the one time start up fee for any Delta patient who wishes to participate.

After the initial exam a treatment plan is presented and costs can be discussed at the second visit. Financial arrangements may be made with the help of the business manager for large treatment plans. This should be discussed after the treatment plan is made and before treatment has begun. Please make an appointment with the business manager if you need to discuss your treatment and financial arrangements.
We accept Visa, Mastercard, Discover, American Express, personal checks and cash. Health Care Creditline and CareCredit are several Dental Credit cards we can help you apply for. LendingClub financing can help you finance your treatment (click on the logo below). In the event a check is returned for non-sufficient funds, a charge will be placed on the patients account. Thereafter, the patient will need to pay for his/her service with cash or credit card for the next six months.
“No Insurance, No Problem ” Dental Health Club
Wheatfield Family Dentistry is pleased to announce the implementation of a new Dental Health Club for our non insured patients. Patients who sign up for the club savings plan will receive 1 regular cleaning (prophy) and 2 -4 cavity detecting x-rays per plan year. In addition patients who pay their bill at the time of service will receive an additional 10% off any dental work provided . There are exclusions, Invisalign and other orthodontic services and any already discounted monthly specials (summer sealants) are not included. For patients who use payment plans or 3rd party credit (care credit) the discount is 5% as long as the payment plan stays current. All payment plans need to be documented in writing and signed.
The cost for the plan is as follows:
- Initial start up fee $100.00 per household
- First adult $149.00
- Second adult $149.00 (children over the age of 16)
- each additional Child $99.00
There is no yearly limit on how much of a discount you can use. Expires December 31st each year. If you sign up for automatic renewal the start up fee is waived. You will receive a membership card in the mail within 10 days of signing up. We do hope this helps to make dentistry more affordable to our patients.

BREACH OF FINANCIAL AGREEMENT/DELINQUENT ACCOUNTS
At Wheatfield Family Dentistry, we provide high quality dental services, in good faith of payment, to our patients. Any account over 120 days past due, without financial arrangements, will be sent to a collection agency which may affect the patients ability to receive future credit. If you are having difficulty paying your bill, please contact our office. We can work something out.
